Creating WhatsApp Templates
Step 1: Go to Graphy Dashboard → Marketing → Campaigns
Step 2: Go to WhatsApp tab from top and click on Get Started
Step 3: Click on “Manage Templates” . It will allow you to:
View all your existing WhatsApp templates
Check their status (Draft, Pending, Approved, Rejected)
Edit, delete, or duplicate templates
Step 4: Click New. It allows you to create a new message template from scratch.
You'll be asked to fill in:
Category: What kind of message this is
(e.g., Marketing for promotions, Utility for course updates)Template Name: Internal name for organizing
(e.g., "Course_Launch_August")Language: The language your audience prefers
Step 5: Click Continue
Step 6: Design Template Content
Message Types Available:
Text: Plain messages
Image: Visual content with text
Video: Video messages
Document: File attachments
Personalization Variables:
{{user_name}}: Learner's full name
{{user_email}}: Email address
{{phone}}: Custom phone field
Call-to-Action Options:
URL buttons like “Link to your Course”
Quick replies like “Yes” or “Interested”
Add button text (e.g., "pay", "learn more", "register now")
Step 7: AI Review & Approval
Graphy's AI reviews your template and provides approval chances and suggests changes required.
You can Accept the suggestion or you can submit anyway.
If you accept then,
The message will be automatically updated with AI-recommended improvements
These changes increase the chances of WhatsApp approval
You can preview and make further edits if needed before submitting
4. On clicking Submit, you’ll receive an email notification once approved.
Step 8: Create New Campaign
Go to Campaigns and click on Create
Enter campaign name (internal use only)
Select WhatsApp as channel
Choose Broadcast type and Continue
Step 9: Select Approved Template
Only APPROVED templates will appear in the list shown below
Preview shows exact WhatsApp appearance On the right panel, you can see how the message (with personalization, CTA button) will appear to your audience in WhatsApp.This live preview reflects the text you’re writing on the left — including variables like {{user_name}}, formatting, and CTA labels like “Enroll Today”.
Once your message template is approved by WhatsApp, it cannot be edited. WhatsApp does not allow changes to approved templates — not even minor edits like fixing typos or updating a button label.
If you want to make changes, simply click on Change Template. This allows you to:
Start from scratch or duplicate the existing content
Edit the message as needed
Submit a new version for approval
Step 10: Target Your Audience
Click the Pick audience dropdown
Use the Filter by panel to target specific audience segments
Review the recipient count before proceeding
Step 11: Test & Launch
Click Send Test to preview on your device
Verify if personalization works correctly
Click Launch to send (cannot be reversed)
Send Immediately: Launch right away
Schedule: Pick specific date and time for optimal engagement
Once your campaign is live, you can track its performance through Analytics. Here are the key metrics to monitor:
Total Recipients – Number of users the message was sent to
Delivered – Messages successfully received on WhatsApp
Opens – Number of users who viewed the message
Clicks – Interactions with your CTA (Call-to-Action) buttons
Organization Tips
Use clear, descriptive names
Organize by categories (promotional, educational, transactional)
Limit: 50 templates maximum
Delete unused templates regularly
Troubleshooting Common Issues
Template not appearing in campaigns:
Verify template status is "APPROVED"
Check if template was created for correct category
Refresh the campaigns page
Low delivery rates:
Ensure phone numbers are valid WhatsApp numbers
Check for international formatting (include country codes)
Verify contacts have active WhatsApp accounts

Test different send times for your audience
